We are seeking an Executive Assistant to CEO (Manager, Office of the CEO) who can perform diverse administrative and support functions for the CEO while maintaining the high-standards associated with our work. The position reports to Founder and CEO, Piyush Tewari.
Role and Responsibilities
The EA to CEO role serves as the primary point of contact for all internal and external constituencies on all matters pertaining to the Office of the CEO. The ideal candidate will be creative and committed to public service. Responsibilities include:
● Managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents.
● Ensuring that the CEO’s schedule is followed and respected. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s time and office.
● Researching, prioritizing, and following up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature. Determining the appropriate course of action, referral, or response.
● Working closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acting as a “barometer,” having a sense for the issues in the work environment and keeping the CEO updated.
● Providing a bridge for smooth communication between the CEO’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
● Ensuring that the CEO’s bio is kept updated and responding to requests for materials regarding the CEO and the organization in general.
● Supporting the arrangement of organisational events where the CEO is directly involved.
● Undertaking any other administrative activities and responsibilities as required.
Professional Skills and Qualifications
● Minimum 7 years of experience in supporting C-level executives. Appropriate educational qualifications.
● Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media platforms.
● Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
● Strong written and verbal communication skills – Articulate, thoughtful, professional and highly responsive communication style.
● Highly resourceful team-player, with the ability to also be extremely effective independently
