Company Description: The Abdul Latif Jameel Poverty Action Lab (J-PAL) was established in 2003 as a research centre in the Economics Department at the Massachusetts Institute of Technology. Since then, it has grown into a global network of researchers who use randomized evaluations to answer critical policy questions in the fight against poverty working in six regional offices across the world. J-PAL’s mission is to reduce poverty by ensuring that policy is informed by scientific evidence and research is translated into action.
Administrative Assistant Roles and Responsibilities:
Administrative Support: 70%
- Updating in house Air, Train & Hotel Booking Portal on Real time basis.
- Managing Courier bills from both our Courier Vendors. Includes careful review to rule out any calculation discrepancy, any mismatch with our tracker.
- Processing all the correct utility bills for Delhi Office after careful review.
- Ensuring that billing is accurate and negotiated well to reduce last-minute minor request charge etc. and process the vendor payment for the same on the portal.
- Downloading Airline GST Invoices on monthly basis and making consolidated data to share with Finance Team.
- Maintaining tracker on the portal for Home Ticket, Exit Ticket, Core Ticket & New Joiner Tickets.
- Acknowledging all the covid safety gears requests, preparing PO to share with the vendor & processing the bills afterwards.
- Assist in collecting quotes from vendors and provide assistance to renew all the Vendor contracts as a process as per the expiry date of the same
- Handling and managing all miscellaneous requests and answering the same.
- Taking care of IT procurement as requests come in coordination with Unish.
- Processing all reviewed bills for rental laptop along with Unish.
IT Support: 30%
- Taking care of IT procurement as requests come in coordination with Senior Associate-IT
- Processing all reviewed bills for rental laptop along with Senior Associate-IT
- Attending IT complaints in absence of Senior Associate-IT
- Updating IT complaints entry on the Portal.
Note on Work Authorizations: Candidates must have work authorization to work in India. This covers citizens of India, Nepal or Bhutan, Persons of Indian origin (PIO), and an Overseas Citizens of India (OCI).
