About the role
We are currently seeking an exceptional and dedicated individual to join our organization as an Manager. In this role, you will play a crucial part in anchoring and managing the office space.
Responsibilities:
Anchor operations of the Office Space
- Oversee the operations, admin and upkeep of the Learning observatory building
- Oversee the management of community cafe
Administration & Management
- Ensure all the staff have health insurance. Process insurance renewals, reconciliation of insurance payment
- Ensuring P.F/ ESI is paid in a timely manner
- Enrolment of employees into P.F/ ESI and serving as a first point of contact to address queries related to P.F
Lead the External Consultant process for Quest Alliance
- Working with state offices and team leads to empanel consultants on an annual basis
- Supporting Program teams in the Consultant processes by reviewing the contract and on timely payments
- Ensuring a feedback process is in place for getting feedback from consultants on their experience of associating with Quest.
- Maintaining a database of Consultants and their services along with rate scale
- Develop consultants fee band in consultation with other stakeholders and obtain approval from the senior management and introduce the structure
Travel and Logistics Arrangement
- Coordinate staff travel for events like Q2L and Annual meet
- Identify and maintain venues for workshops and events across county in coordination program team
Relationship Management
- Ensure that key staff at the state and district office have a clear understanding of the processes and support them as required
- Support the employees and be available to respond to their queries
Requirements
- 4-5 years of proven experience in managing office space or similar role, preferably in development sector
- In-depth knowledge of office administration and operations
- Understanding of related laws and regulations.
- Excellent interpersonal and communication skills.
- Demonstrated ability to build relationships and collaborate with stakeholders at all levels.
- Exceptional organisational and time management skills, with the ability to prioritise and multitask effectively.
- Ability to take initiative, manage multiple priorities and work in a fast-paced environment
