Position Overview:
The Accounts, Admin and HR Associate would support the state and CO in managing all the financial processes, procurement, office management and HR tasks related to the project implemented at the district level. The project is for a three (03) year duration and the candidate is required to have strong financial and administration skills and understanding of government and IT policies and processes. The Accounts, Admin and HR Associate will report to the District Lead, Ajmer.
Roles and Responsibilities:
Accounting responsibilities:
- Overall responsibility of ensuring proper and effective implementation of finance and admin related policies and guidelines at field level.
- Fully responsible to prepare program/project related annual budget with support from program team. Budget tracking and provide timely alert to project team on utilization of budget.
- Verification and Finalization of billsvouchers for payment and enter in software on day-to-day basis.
- Assist state finance team in preparation of Fund Projection and Fund Request for the project requirements.
- Assist state finance team in Monthly Closing of Accounts and submission to CO.
- Assist state finance team in preparation of TDS Details (FC and Non-FC).
- Preparation of Financial Statement of Expenditure against Fund Received of all programs and operations and shared with teams on monthly and quarterly basis.
- Any other assignment given from time to time as per organizational requirement by State Project Lead and CO.
Admin Responsibilities:
- Preparing Procurement Plan Weekly and Monthly) in coordination with the District Lead and weekly update on the progress on designated trackers.
- Managing end-to-end Procurement of Goods and Services which includes processing PRs, vendor exploration, selection, collection of quotations, preparing comparative statements, sending it to procurement committee, and submission for Admin Review at country office, onboarding, Contracts, Preparing and Issuing Purchase Orders, as per other organizational policy and process, maintaining procurement registers and trackers as per requirement.
- Procurement documentation as per organizational templates and timelines.
- To ensure quality of material and delivery on time. Distribution or dispatch of program related material to destinations and regular follow up with vendors for safe delivery of material.
- Material verifications with support of project team and review of documents as per payment process sheet (for payment of procurement bills)
HR Responsibilities:
- Managing joining formalities and verification of documents, and sends the same to INCO HR.
- Managing attendance and leave record of all staff, sharing the same with INCO HR on monthly basis.
- Complete asset handover of employee as part of exit formalities.
- Assist INCO HR with compilation of PMS data of project staff, as required.
Qualification and Experience
Required:
- Bachelor’s degree in Commerce or related field
- A minimum of three- five (3-5) years of experience in NGO Accounting field and managing administration.
- Adopt at using Microsoft Office applications – word, excel.
- Working experience in Tally 7.2 or 9.
- Verbal and written communication skills in English & Hindi
Preferred:
- Advanced degree in finance related field/ similar field
- 3 -5 years related accounting experience in an NGO/International NGO
- Flexible attitude towards changing priorities and ability to multi-task with an eye for detail.
- Strong initiative skill.
- Team player.
- Excellent interpersonal and relationship-building skills.
