Role Description

The role of the Community and school Administration Officer is critical to the success of the continued partnership with parents as this role is an important link between the school and the parent community. They will independently lead and drive community engagement and manage the day-to-day school activities acting as support for the Academic Coordinator at the school. The ideal candidate should be warm and approachable to children and parents alike and possess excellent communication skills to work towards building sustainable relationships with multiple levels in the school system.

Responsibilities would include but not be limited to:

Parent communications/community engagement

• Develop and lead the community engagement plan for the school and ensure new children who join school are properly inducted

• Schedule meetings with the parents and PTMs at the school in consultation with the Principal and the Academic Coordinator.

Ensure Parent attendance is high in such meetings

• Ensure meeting information is conveyed to parents in time Enrolment, induction and retention of children

• Ensure new children who join school are properly inducted, including child’s photo added to class list and ID card made, and Academic Coordinator, Class Teacher and Government In-Charges have met with parents.

• Maintain attendance and retention levels at the school. Undertake home visits for those children for whom attendance is a particular struggle and maintain reports on all home visits.

Provide support to children

• Ensure that all children:

o Attend school regularly and on time

o Feel safe, secure, and able to learn once in school

o Their basic health needs are being met

• Work with colleagues to identify ways to ensure vulnerable children or those with special educational needs are fully integrated into the school community at all times

• Maintain and update case files and medical files of all pupils, and prepare reports in consultation with teachers

• Attend to any medical emergency related to the children when at school

• Regular health check-ups are organized for all pupils and regular workshops on health and hygiene are organized for parents

• Update the school evacuation plan towards the beginning of the new academic session; Organize fire drills at regular intervals in consultation with the Academic Coordinator.

Data and Information Management

• Update the school information system on a weekly basis to see that attendance has been entered by every teacher

• Maintain required student records with updated information

• Coordinate with Government In-Charge on a weekly basis to ensure o Correct attendance is reported to government daily and at the end of the month

o Correct numbers are given for midday meal

o Any relevant government circulars are shared with Peepul team in the school Alliances and Partnerships

• Maintain a strong working relationship with Government Officials, like government teachers, Principal and officers.

Other responsibilities

• Performing additional duties and tasks required for the effective operation of the school, as directed by Principal and Academic Coordinator

• Develop a smooth system of dispersal of children at school in coordination with the Principal, Academic coordinator and teachers.

Qualifications

• Should hold a bachelor’s degree

• Work experience of 2-3 years in the social sector, especially in field work Language skills

• Fluency in Hindi and English
