The Executive Assistant to the Chairman is an important position in the Foundation. The EA’s responsibilities are primarily administrative and require great diplomacy, discretion, resourcefulness, and flexibility as this individual will be working closely with a diverse range of people within and outside of the organization. The Executive Assistant role offers an unparalleled opportunity for someone with very strong administrative experience coupled with an interest in social impact.
RESPONSIBILITIES
- Manage schedules, prioritize functions and appointments. Provide material and background information to prepare Chairman for upcoming meetings and ensure meeting deadlines are communicated and attained
- Interact and engage with senior officers, community members, and other personnel (including respective administrative support professionals) on topics related to the functions of the Office of the Chairman
- Prepare documents on behalf of the Chairman. The documents include proposals, reports, letters, presentations, databases, and more.
- Liaise with internal and external stakeholders on behalf of the Chairman.
- Good office managerial skills
- Serve as the point person for external institutions and individuals who need to contact the Chairman.
- Monitor and track documents, projects and tasks, ensuring attention to time-sensitive issues and longer-term initiatives.
- Prepare and provide all relevant documents for meetings and travel when needed.
- File properly with and up-to-date records all documents and correspondences of the Chairman office.
Required Competencies
- Excellent communication skills, both verbal and written
- Excellent IT skills (MS Office)
- Experience in working with senior officials
- Ability to meet deadlines with varying degrees of pressure.
- Great organizational skills and attention to detail.
- Possess significant awareness of the handling of sensitive information (contracts, intellectual property, agreements, financial, and personal data).
