General Administration
- Handle all Administration activities & support the smooth functioning of the office.
- Maintain office supplies inventory by checking stock and ordering new supplies as needed.
- Monitor inventory of office supplies and the purchasing of new material with attention to
budgetary constraints - Maintaining an inventory of all infrastructure assets for the office facility.
- Keeping track of contracts of all service providers, vendors, etc.
- Making Travel arrangements to and for the team member/Head as and when required
- Daily reporting and MIS updates
- Keeping track of the logistics inwards and outwards.
- Handle the Transport management
- Board Meetings Conference handling. Lunch arrangements for guests in meeting rooms.
- Help organize events, including ordering materials and requisitioning meeting spaces.
- Manage repositories of information in electronic and physical form.
- Make photocopies, scan documents, mail packages, and assist with other administrative
office duties where required. - Handle the purchasing and maintenance of departmental office supply
Billing and Invoice Management
- Maintaining invoice tracker.
- Receiving the bills from the vendors and verifying the documents attached to the bills.
- Doing final certification of the bills and process for approval.Reconciling the payments given to the vendor partners and the accounts team.
- Coordinating with Programs, purchases, and Accounts with respect to the bill certification
and payment. - Follow up with Finance team for payment advice.
- Coordinate with Vendors for outstanding amount closure and quarterly balance confirmation
within defined timelines - Maintain PO/ Agreement tracker for validity and ensure timely renewal.
Education and Experience:
- Any Graduate
- Should have at least 3+ years of office administration in a corporate setup o
- Proficient with MS Excel / MIS reports
Required Abilities:
- Strong verbal and written communication skills
- Should be presentable and pleasant
- Strong Decision making & negotiating skills
- Ability to multi-task, work under pressure and meet deadlines required
