Position Summary
Reporting to: Director, Marketing and Communications
As the Events Manager, you will be a part of the National Communications team and will manage the design, conceptualization, and execution of internal and external events across Teach For India’s eight sites. You will be responsible for delivering ambitious, inspiring, and high-impact events for a diverse group of stakeholders.
Teach For India events range from large education conferences, musicals, fundraising events, student leadership events and retreats, book launches, and Fellow induction and graduation ceremonies. The Events Manager will work with internal teams and external stakeholders to ensure end-to-end delivery of high-quality events. This will include working with teams on programming, ensuring seamless technical execution, coordinating with vendors for collateral, upholding Teach For India’s brand and coordinating outreach and media.
Through your work, you will amplify the voices of important stakeholders such as our Students, Fellows, Staff, Donors and friends of Teach For India.
Responsibilities
Conceptualization
- Envisioning, developing and executing inspiring, high impact events; both external and internal.
- Conceptualizing themes, ideas and strategies for the events
- Owning end to end budget and budget management for the events
- Creating and revising the National Events Guidelines as well as building capacity among internal stakeholders to adhere to the same
Stakeholder Management and Partnerships
- Owning vendor management including negotiation, collateral design oversight and event execution
- Coordinating with a large, pan-India and diverse team for event management
- Developing strategic tie-ups with key partners
Event Planning and Execution
- Developing and managing event concepts, timelines, and project plans
- Coordinating with stakeholders to understand requirements and expectations for events
- Securing venues, vendors, and equipment needed for events
- Ensuring all necessary permits and licenses are obtained
- Managing event logistics, including setup, teardown, and cleanup
- Overseeing event Staff and Volunteers
- Addressing any issues that arise during events
- Conducting post-event evaluations to identify areas for improvement
Marketing and Promotion
- Developing marketing plans and promotional materials to advertise events
- Ideating, coordinating, and implementing outreach for the events
- Coordinating with external partners and media outlets to promote events
- Managing event registration and ticket sales
- Monitoring event feedback and reviews, and respond accordingly
- Tracking and reporting on event attendance and success metrics
Merchandising
- Developing merchandise concepts, designs, and pricing strategies
- Coordinating with vendors to produce merchandise items
- Managing inventory and sales of merchandise items
- Ensuring timely delivery of merchandise to events
Show Running
- Ensuring timely and efficient execution of events
- Managing timelines and transitions between event activities
- Addressing any technical issues that arise during events (such as sound or lighting)
- Coordinating with performers, speakers, and other talent to ensure smooth transitions and introductions
On-ground Management
- Ensuring all aspects of the event are running smoothly on ground
- Managing and coordinating with Staff and Volunteers on the ground
- Conducting on-ground assessments, track progress and report to stakeholders
- Managing and implementing emergency response protocols when necessary
As a Manager at Teach For India
- Contributing to the team goals and priorities beyond individual goals and priorities
- Serving as an ambassador of the Teach For India brand and an advocate for our work and for educational equity in our country through both internal and external communication after commiting time in our classrooms to understand our work more deeply
- Supporting with key organizational areas such as Recruitment, Selection, Fundraising, Volunteering, Movement Building
Minimum Qualifications, Experiences and Expectations
- 3+ years of event and team management work experience
- Ability to evaluate partnerships, identify synergies, enable collaboration towards a larger purpose
- Exceptional project management skills
- Strong communication skills (written and spoken, individual and group)
Preferred Qualifications, Experiences and Expectations
- A Bachelor’s or a Master’s Degree in any field
- Some experience in vendor management
- Orientation towards innovation (openness, risk-taking, problem-solving, embracing failure) and scale (strategic thinking, identification of key levers, making bets)
- Creativity to design powerful experiences
