**Job Summary:**

 

The Operations Officer is a key member of the Digital Green team, responsible for providing essential operational support to the Bangalore-based staff. This role reports to the Finance & Operations Manager and is part of both the local Bangalore team (primarily Engineering, Tech & Product team staff) and the Global Internal Operations team. 

 

The Operations Officer will contribute to global initiatives and projects while leading procurement, logistics, systems management, and office/event coordination for the Bangalore team. Additionally, the role will work closely with the Finance team to manage and track office expenses, cash advances, and vendor payments.

 

**Key Responsibilities:**

 

**Administration, Logistics, & Travel Management:**

 

* Manage fixed assets: Purchase, document, and maintain physical assets and inventory within the office(s).

* Oversee office management: Ensure cleanliness and upkeep of the office, purchase office supplies.

* Support staff travel: Assist with all international and domestic travel bookings, logistics, and visa requirements. Coordinate with travel agents and other offices as needed. Identify and manage relationships with trusted travel vendors.

* Manage visitor and event logistics: Handle all travel arrangements for office visitors and events in the region.

 

**Finance:**

 

* Manage imprest account: Maintain imprest account expenses and ledger, submitting required documentation to Finance.

* Serve as a Finance liaison: Provide staff with information on finance policies, processes, expense coding, payment status, and travel advances.

* Manage vendor payments: Submit vendor invoices with supporting documentation for timely payment processing.

* Support internal and external audits as required.

 

**Procurement:**

 

* Process all procurements: Handle procurement and contracting for the Engineering, Tech & Product team in accordance with Digital Green policies, ensuring timely delivery of goods and services.

* Purchase laptops and equipment for new staff.

 

**Systems + IT:**

 

* Manage system and software access for the Engineering, Tech & Product team.

* Collaborate with the global team on system transitions and provide training.

* Purchase laptops and hardware according to required specifications and policy.

* Coordinate with the IT team for hardware, software, and networking troubleshooting.

 

**New Initiatives:**

 

* Support internal communications and ad hoc projects as needed.

 

**Qualifications:**

 

* Bachelor’s degree or equivalent experience in a relevant field.

* Minimum 3-5 years of experience in a similar operations role.

* Experience or interest in utilizing systems to support processes.

* Tech-savvy with experience using intranet or workplace communication tools preferred.

* Operations, finance, or IT experience is a plus.

* Excellent time management and project management skills.

* Ability to multitask and prioritize work effectively.

* Outstanding written and verbal communication skills.

* Collaborative mindset and a proactive approach to building relationships.

* Creative thinking and problem-solving skills.

* Ability to adapt and thrive in a fast-paced, growing organization.

* Willingness to handle hands-on office duties as needed, including courier services.
