**The Team**
The India Country Office (ICO) business team cluster plays a crucial role in driving the foundation’s work in India. They focus on developing and executing a robust country strategy, ensuring efficient program management, and promoting dynamic learning and adaptation to achieve goals sustainably. This team supports strategy development, implements performance management systems, provides administrative support, and fosters collaboration within and across the foundation’s teams and external partners.
**Your Role**
As a Program Coordinator, you will be responsible for the coordination, implementation, and maintenance of a range of projects and activities in support of the life cycle of grants and contracts. This role may involve managing a portfolio of investments, including grants, contracts, and other projects, all aligned with programmatic strategic goals.
**Key Responsibilities:**
* **Project Management (Investment Management):** Coordinate end-to-end investment processes, managing key deadlines, tracking deliverables, monitoring expenditures, and reviewing reports. Collaborate effectively with internal teams (Program Officers and Business Partners) and external partners (grantees and vendors).
* **Financial Planning & Analysis:** Manage data for all investments across multiple databases and SharePoint sites. Provide detailed financial analysis to support financial decision-making for the SPM team and ICO. Ensure data integrity and work with Program Managers and Officers to keep information updated for reporting and analysis. Serve as a point of contact for Program Officers regarding budget targets and portfolio management.
* **Strategy Support:** Contribute to special team projects, both strategic and operational, as needed, particularly those related to investment making or improving ICO process efficiency. Identify areas for process improvement and make recommendations. Support the SPM team for strategy reviews, strategic planning, learning sessions, onboarding of new hires, and staff interactions.
* **Portfolio Development & Management:** Work closely with investment makers to develop and maintain a portfolio of investments. This may include advising on investment structure, ensuring compliance with foundation processes, maintaining internal systems, conducting due diligence, and managing timelines.
* **Collaboration & Communication:** Collaborate with business partners, grantees, and vendors throughout the investment lifecycle to navigate internal and external processes. Collect portfolio data, identify trends, and communicate issues to the program team. Participate in cross-foundation and cross-program projects.
* **Process Expertise & Training:** Serve as a subject matter expert on processes, tools, systems, and templates. Provide training, coaching, and process change support to the program team and external partners to ensure successful adoption and sustained use.
**Your Experience:**
* Bachelor’s degree or equivalent experience with a minimum of 3 years of relevant work experience.
* Experience in management consulting, project management, portfolio management, program management, financial management, financial reporting, or related fields, preferably in the non-profit sector.
* Excellent organization skills, attention to detail, and commitment to deadlines and policy compliance.
* Strong oral and written communication skills.
* Proven knowledge of budgeting, financial analysis, and synthesis.
* Ability to analyze data across multiple tools and databases.
* Capability to work independently and as part of an integrated, diverse team, thriving in fast-paced environments with tight deadlines and varied work styles.
* Ability to manage multiple competing demands, establish priorities, and maintain flexibility, efficiency, and diplomacy.
* Open to change, a quick learner, and able to distill key information, even without programmatic expertise.
* Demonstrated ability to effectively influence individuals and teams without formal authority.
* Understanding of basic investment rules, regulations, policies, processes, and practices.
* Expert in all phases of investment-making and adept at engaging partners and decision-makers as needed.
* Ability to communicate effectively with external partners.
* Expert knowledge of and ability to work across multiple investment-making systems, including Access, Excel, SharePoint, and other web-based software applications.
* Basic SharePoint site administration skills, including metadata tagging, document view creation, archiving, and managing confidential files.
