About the Role:
The leadership office is the backbone for the Quest leadership team, ensuring that our reflections, decisions and action are grounded in Quest values of collaboration, compassion, courage and continuous learning. This team works with organisational leaders to build internal coherence and effectively shape the external narrative through thought leadership.
In your role, you are to connect the dots across all teams, draw insights from the work and experience of teams, ensure a smooth flow of information and data, and provide analysis and recommendations for the leadership team to make informed decisions.
A large part of this role will include understanding the various contexts and cultures within the Quest ecosystem, and designing and implementing systems that help these teams align and collaborate effectively and efficiently.
Key Responsibilities
Organizational Performance
- Track and report on progress against organizational indicators on a quarterly basis.
- Work closely with the BD team to develop reports for strategic organizational grants.
- Work closely with People and the Marcom team to articulate and cascade leadership communication across various internal platforms.
- Support development and implementation of organizational surveys and systems to ensure flow of feedback for organizational learning.
- Anchor the internal review process, to capture insights across levels and ensure a smooth flow of relevant information for the leadership to stay on top of updates, listen to insights and make informed decisions.
- Use the insights to make recommendations on key process improvements, develop those systems and document them for wider onboarding.
Leadership Operations & Alignment
- Convene and document all leadership meetings to ensure continuity.
- Manage the leadership dashboard that captures data, decisions, documents and action items for the leadership team.
- Work with various teams and leadership team members to create proposals backed by data for critical decision making.
- Support working groups with operations, documentation and internal communication.
- Work closely with the People team to develop Board reports and document meetings.
- Support the leadership team to carry out and consolidate the annual planning process.
- Support the leadership team on managing the operations of the strategic planning process including development of operational plans and key result areas.
- Manage consultant relationships and contracts for the leadership office.
- Ensure all decisions get communicated to relevant teams and follow up to report back action on those decisions.
- Manage the files and repository for the leadership team.
Support Thought Leadership
- Consolidate information and create external facing documents and presentations for impact communication and thought leadership.
- Support leadership team members to identify and prepare for external forums to present Quest’s work and approach.
Anchor Knowledge Management System
- Anchor the development, training and upkeep of the knowledge management platform.
- Build and execute an internal engagement and onboarding plan for uptake of the knowledge management platform.
- Periodically review the analysis from the KM platform to ensure relevant insights are carried into conversations in reviews and internal meetings.
- Coordinate with Hub, QEL, Youth and Schools program teams for regular updates and clean up on the KM platform.
- Anchor the analytics from the KM platform and communicate successes and challenges of the systems.
- Be the POC for the external KM consultants of maintenance, iterations and further development of the knowledge management process.

- Proficiency in documentation both visual and written.
- Effective and proficient written and oral communication in English
- Proficiency in using technology including but not restricted to google suit, intranet platforms like Zoho, JIRA etc.
Contextual Skills and knowledge
- Experience of working in the development sector with experiencxxe in project management.
- Keen interest and experience in organization development is preferred but not necessary
- Basics of systems design knowledge is preferred
- Basic understanding of human centered design is preferred but not necessary
