**About India Health Action Trust (IHAT)**

 

India Health Action Trust (IHAT) is a Charitable Trust established in 2003 with the vision to impact the lives of vulnerable and marginalized people by addressing health and social inequities. IHAT focuses on reducing inequities through comprehensive and sustainable programs to improve population health. Since its inception, IHAT has collaborated with the Government of India and state governments to achieve public health goals, with a focus on:

 

* Prevention and control of HIV and Tuberculosis

* Improving Reproductive, Maternal, Neonatal, and Child Health

* Enhancing Nutrition among mothers and children

* Strengthening health systems

 

IHAT utilizes program science to optimize and scale public health programs while partnering with governments and communities. 

 

**About the Role**

 

We are seeking a highly organized and efficient Sr/Associate, Administration to play a critical role in supporting the day-to-day operations of IHAT. This position is based in **Bengaluru, Karnataka** and will report to the Deputy Director, Administration. 

 

**Responsibilities**

 

* **Office Management:** Manage office supplies, maintain stock registers, ensure timely procurement of stationery and pantry items, handle asset management, and oversee AMCs and insurances for assets.

* **Travel & Logistics Management:** Handle travel arrangements, including ticket booking and local travel logistics. Maintain communication with vehicle vendors, providing feedback on service quality, vehicle condition, and driver behavior.

* **Events Management:** Organize and manage meetings, trainings, conferences, and other events, both within the office and at external venues. This includes arranging conference halls, stationery, refreshments, and meals.

* **Vendor Management:** Manage vendor contracts, including hotels, vehicle providers, printers, and general order suppliers. Conduct vendor assessments and recommend contract renewal or termination with proper justifications.

* **Asset/Inventory/Document Management:** Maintain an accurate inventory of all assets, consumables, and office records. 

* **Infrastructural Review:** Regularly review existing office infrastructure and recommend improvements or upgrades. This may involve travel to other project offices.

* **Bills Processing:** Verify incoming bills, process them accurately, prepare summary reports, and track payment status for Finance.

* **Coordination:** Collaborate with other locations and project offices on logistics, events, bill processing, and payment status updates.

* **Miscellaneous:** Perform other tasks as assigned by the supervisor.

 

**Qualifications**

 

* Bachelor’s degree

* Minimum 3 years of relevant experience in administration, preferably within a reputable NGO/INGO

* Proven experience working with multiple offices located in different locations

* Demonstrated ability to achieve results and meet tight deadlines

* Excellent knowledge of PC operations

* Fluency in English, Kannada, and Hindi

**Travel Requirements:**

 

Approximately 10% travel is expected for this role.
