The Program Office team, within the Tech & Ops enabling function, has the mandate to oversee the pipeline and aid our grant-making & grant-management capabilities.
Responsibilities
- Anchoring the grant approval process
- Pre-approval: Manage the processes, ranging from internal debriefs to Board meetings
- Schedule the review & approval meetings, ensuring time-sensitive grants are prioritized
- Record the minutes (except for Board meetings) and track key action points to closure
- Coordinate with grant team for timely submission of documents and other information
- Review & edit the documents for clarity, conciseness and adherence to templates
- Post-approval: Support the grant teams in post-approval processes, including updates to the Grant Management System
- Improving the grant approval process
- Grant approval documents: Incorporate feedback and update the templates regularly
- Grant making and management Handbook: Keep the Handbook updated and conduct regular induction and refresher sessions for the grant teams
- Data analysis: Respond appropriately to queries on grants that are approved or in pipeline
- Tools: Identify and use tools to streamline and speed up the grant approval process
- Supporting partner Civil Society Organizations (CSOs)
- Enable potential & confirmed partner CSOs to access our systems and follow the defined processes
- Identify and use processes and tools to improve the partner experience (e.g., audio-visual guides in multiple languages, simpler templates for smaller CSOs)
- Supporting other initiatives
- Contribute to data and content requirements, as required
- Engage in new initiatives and provide cross-functional coordination, as required
Qualifications And Skills
- Degree from a reputed institution with a good academic record
- 4-10 years of experience (mix of corporate and development sector experience preferred)
- Excellent English language skills to conceptualize and articulate based on available information
- Proficiency in MS Office and eye for detail to be able to quality check and edit the Board communication
- Ability to see the big picture and interpret information to build a broad understanding of philanthropy and our areas of intervention
- Ability to work in a fast-paced environment, swiftly coordinate and follow up with diverse teams, navigate through changing requirements and tight timelines, and have an attitude of ‘get it done right the first time’
- Ability to work with leadership and peers conceptually, communicate succinctly, maintain confidentiality, and manage timelines to get the work done
