About IHAT:

India Health Action Trust (IHAT) works towards reducing inequities by developing comprehensive and sustainable programs to improve population health. IHAT works closely with the Government of India and state governments to achieve public health goals. IHAT’s work is focused in areas of prevention and control of HIV and Tuberculosis, in achieving significant improvements in Reproductive, Maternal, Neonatal and Child Health, improved Nutrition among mothers and children, and strengthening health systems. IHAT’s work is aligned with the Sustainable Development Goals.

IHAT has set up multiple Technical Support Units (TSU) with the Governments of Uttar Pradesh, and an Innovation Hub in Madhya Pradesh to provide techno-managerial assistance and coordinate with the Governments, Non-Government Agencies, Academic Institutions and Communities.

About Program:

The Madhya Pradesh Innovation Hub (MPIH) was instituted in 2019 pursuant to the Memorandum of Understanding between National Health Mission, Government of Madhya Pradesh (NHM MP) and India Health Action Trust (IHAT). The hub identifies health challenges and designs interventions to improve population health outcomes in the state pertaining to Reproductive, Maternal, Newborn, Child and Adolescent Health (RMNCAH), Tuberculosis, HIV / AIDS, Non-Communicable Diseases (NCD) and health system strengthening.

The innovation hub activities are based on program science framework that uses adaptive responses to enable public health programs to continuously and systematically examine processes, outputs and outcomes, explore areas that required further understanding, implement and evaluate new interventions and then use the knowledge gained to further re-design and develop programs and/or conduct further embedded research. The hub works closely with the Government of Madhya Pradesh to identify public health priorities in the state and provides research support in answering questions emerging from the field in relation to identified priorities. It supports the government in testing novel ideas and interventions while also supporting and translating global and national best practices into action-plans for the state. The hub plays the role of a facilitator for implementing public health interventions at scale in the state.

Job Summary :

The Associate – Administration will be responsible for the day-to-day operations. Their role will consist of office management, complete logistic solutions, event management, vendor management, asset management, bill processing and payments follow-ups etc. The position of Associate – Admin demands for the responsibility of an independent administrator, and proper coordination with HO and other teams.

Key Responsibilities:

  • Office Management – Maintaining Stock Register of stationeries and pantry items purchased for the MPIH Office, record their entry in the stock, subsequent issuance and reconcile on a monthly basis the actual physical stock vis-a-vis the ones per book records. Undertake AMCs and Insurances of assets in the State Office.
  • Travel & Logistics Management – Tickets booking for the MPIH Team and Divisional Coordinators, as may be needed, Local Travel Arrangements in Bhopal and outside. Regular liaising with Vehicle Vendor to feedback on the quality of services received, vehicle condition, driver’s disposition etc.
  • Events Management – Organizing meetings, trainings, conferences and any other events in Bhopal, either in the office or at outside venues. This area encompasses, but is not limited to, proper arrangement of Conference Halls, Stationeries, Refreshments, Lunch /Snacks/High Tea arrangements.
  • Contracts Management – Maintaining Institutional Contracts in the MPIH Office, Hotels, Vehicle vendors, Printers, General Order Suppliers etc.
  • Vendor Management – Facilitating Vendor Assessment and recommending renewal or otherwise of such contracts, with due justifications and practical/proper rationale.
  • Asset/Inventory Management – Asset Management at the MPIH Office. Inventorying all Assets and always keeping updated the Inventory List for the MPIH Admin Unit
  • Infrastructural Review – Undertake regular review of the existing infrastructure in the MPIH Office and in accordance, recommend changes and/or upgrading. The post holder may have to travel to the Divisions and other project offices to undertake such review in those office(s).
  • Bills Processing – Play a key role in verification of incoming bills against actual events, processing them, preparation of summary and tracking sheet for Finance to pay these.
  • Other Admin Support – Providing all admin support to MPIH team/other project/ Divisional teams as may be required time-to-time.
  • Miscellaneous – Any other tasks as may be required to be performed, as assigned by the State Team Lead-MPIH

Work Experience:

  • At least 3 years of relevant experience in Administration, in an NGO/INGO of repute.
  • Substantial experience of working with multiple offices located at different places.
  • Demonstrated ability to produce results.
  • Excellent knowledge of PC operations.

Education:

  • Bachelor’s degree is essential. Masters preferred.

  • Ability to multi-task and prioritize work and meet tight deadlines.
  • Ability to develop and sustain cordial relations with key stakeholders, including but not limited to MPIH Office staff, staff of the division and District Offices, Government Officials, vendors of both goods and services. Should be a thorough Team Player.
  • Pronounced Negotiation Skills – Ability to negotiate the best deals for IHAT, ensuring value for money.
  • Excellent interpersonal, communication and people management skills.
  • Ability to function effectively as a team member with due respect to multi-cultural, ethnic and linguistic diversities in a team.
