**About the WHO:** The World Health Organization (WHO) is a specialized agency of the United Nations responsible for international public health.  The Administrative Services Unit (ASU) within the SEARO provides administrative services to staff in the Regional Office and eleven country offices.  These services encompass security, building and office services, asset management, records and archives, travel and transportation, and conference logistics.

 

**Job Summary:**

 

The Executive Assistant will provide comprehensive administrative and program support to the Administrative Services Officer (ASO) and ASU teams.  Responsibilities include managing correspondence, maintaining filing systems, supporting meeting administration and travel arrangements, assisting with database management, preparing reports, and providing general office support.

 

**Responsibilities:**

 

* Manage incoming and outgoing correspondence, drafting responses, and ensuring compliance with WHO standards.

* Maintain electronic and physical filing systems.

* Provide guidance to office staff on procedures and WHO standards.

* Assist in compiling information for reports and maintaining internal databases (staff details, travel documents).

* Prepare meeting agendas, presentations, and minutes.

* Arrange travel for supervisors and team members, including flight and hotel reservations.

* Manage the ASO’s daily agenda and team calendars.

* Handle appointments, screen calls, and receive visitors.

* Serve as ASU Leave Administrator.

* Assist with administrative and security announcements.

* Update the ASU intranet website.

* Provide support to other areas of work as needed.

* Assist with generating GSM reports and managing related issues, including POs for building services.

 

 

**Required Qualifications:**

 

* **Education:** Completion of secondary school education. A university degree and training in secretarial practices are desirable.

* **Experience:** At least five (5) years of experience in secretarial, clerical, or administrative work. Experience with WHO or another UN/international organization is advantageous.

* **Skills:** Thorough knowledge of modern office practices and operations; ability to handle work accurately and discreetly; proficiency in office technology; strong teamwork, communication, and results-oriented skills.

 

**Language Skills:**

 

* **Essential:** Expert knowledge of English.

* **Desirable:** Intermediate knowledge of Hindi.

 

**Remuneration:**  The annual net base salary starts at INR 1,078,604 (subject to mandatory deductions).  30 days of annual leave are provided.
