Job Summary

Coordinating, monitoring and supporting in the implementation of projects and programs in South Region

Accountabilities

  • Local implementation & project management including; planning & delivery, specific implementation of all local level things and governance
  • Achievement of the projects objectives
  • Performance management & reporting
  • The role holder will comply with the organisation’s policies and procedures.

Job Description

  • Coordination with ME partners for collation and management of data, reports and information for timely submission to internal & external stakeholders
  • Monitoring and supervising the activities by visiting the ME Centres (South) and coordinate the tasks with the centres’ staff ensuring projects are being handled and implemented as per the PIP
  • Support in ME reporting and management review presentations
  • Coordination of events, employee engagement activities, volunteering, media shoots and donor visits
  • Support in project development & identification of partners for the specific projects and ensuring proper due diligence, conducting need assessments, budgeting, preparation of MoU, etc.
  • Manage and report periodically as per designated reporting process – reviewing project reports, drafting reports, and assimilating information into reports in accordance with organizational and project deliverables.
  • Carry out administrative duties e.g. contract development and vendor management, event management, monitoring and evaluation, and any other tasks as reasonably requested.
  • To perform all other tasks as assigned from time to time by reporting management and other senior persons/colleagues of Smile Foundation

Reporting and documentation

  • Documentation & maintaining MIS of the project activities in the prescribed formats and report to the reporting authority
  • Documenting the innovations, best practices, case stories and testimonials
  • Capturing break through activities through real time photographs, videos
  • Sharing project snippets

Management

  • Practice strong integrated working across functions and geography
  • Develop and maintain project management approaches which facilitate open, effective and timely communication
  • Support the Regional Lead in ensuring the development and implementation of consistent approaches that contribute to the organisation’s strategy

Finance

  • Manage the project activities within budget diligently
  • Take overall responsibility for the effective and efficient management of resources in accordance with Smile Foundation’s financial procedures and local governance regulations

Organizational responsibilities

  • Work cooperatively with external organizations, and teams within Smile Foundation to pursue project objectives and wider organizational goals, including those relating to brand, communications and resource management.
  • Actively participate and support the organisation to ensure that we manage resources (financial, staff and IT) efficiently and effectively by improving the systems, reporting and compliance.
  • The post holder will be required to travel to provide support or participate in Smile Foundation’s / Partners activities as and when required.

Qualifications & Skills

  • Graduate/Post-graduate (master’s degree) in the Social Sciences, Social work, Sociology or other relevant discipline with the willingness to learn and use innovative techniques
  • 2-3 years of work experience preferable in development sector on project coordination
  • Strong verbal, written and presentation skills, including written and spoken English and local language. with good relationship building skills
  • Proficiency in M.S. Office (Excel, Power Point and Word)
  • Willingness to travel to field for events or project monitoring, whenever required
  • Ability to work with multiple teams/people and ability to handle adhoc tasks
  • Ability to handle work pressures and deliver under tight schedules, flexibility in approach
  • An understanding of social/development sector issues in Education
