Position Overview

Responsible for greeting visitors and delivering exceptional service assistance. This entails answering calls and fielding them accordingly, addressing visitor questions and needs, and providing an overall welcoming environment.

Key Responsibility Areas

· Assist in keeping the reception area clean and tidy, at all times.

· Deal with all inquiries in a professional and courteous manner, in person, on the telephone or via e-mail

· Administer all reservations, cancellations, make hotel/accommodation/transport – rail & air ticket bookings for staff/visitors over telephone/emails in line with organizations policy.

· Greet Visitors, facilitate their board and lodging and maintain visitors’ book.

· Maintain ticklers, follow-up over telephone/emails/letters as directed by supervisor.

· Maintain STD register, Courier Register (incoming & outgoing letters), Movement register, Vendor Bills Receiving Register and check telephone bills, electricity bills etc.

· Ensure the completion of outgoing register by staff.

· Ensure to update the postal order /speed post register. Keep proper records of the postal orders bought and issued for the organization.

· Process Admin/Program related documents through MS Word/Excel.

· Maintain and update files related to visitors/transport/accommodation booking, office telephone diary, staff intercom contact list.

· Receive incoming mails and dispatch outgoing mails/packets by post/courier.

· Assist programme staff/administration in smooth conduct of organization activities/ programmes and efficient running of the office.

· Report any maintenance issues immediately to line manager, including all, fittings and equipments of the organization.

· Be involved and contribute at team meetings.

· Carry out instructions given by the management team and Supervisor.

· Perform any other duties/responsibilities assigned by the supervisor.

Key performance Indicators

· Above mentioned KRA’s include timelines and deliverables to be submitted on a monthly and quarterly basis. Your work will be evaluated based on

ü  Adherence to timelines

ü  Level of execution

ü  Quality of work delivered

ü  Quality of Documentation (Timely and updated registers)

ü  creativity used to achieve the above mentioned deliverables.

· Your performance will be monitored and assessed on both a monthly as well as annually based on the above KRA’s and performance Indicators.

Requirements

Education, Experience and Exposure

  • Graduate in Social Work/Sociology/Psychology or any relevant stream 
  • Good command on Hindi and English will be an added advantage
  • Minimum 1 year of experience of working experience
  • Good command in Hindi and English
