Job Summary:

The Operations Manager will be responsible for the smooth functioning of the Kolkata office and provide HR and administrative support to the organisation. S/he/they will be responsible to manage the agenda for smooth execution of all PAAR day-to-day operations, including official visits, events, etc. S/he/they will also be responsible for all operational activities including but not limited to procurement and vendor management, logistics, inventory, etc. Additionally, S/he/they will be required to manage the human resources requirements and uphold the culture of PAAR while carrying out HR related activities. The job may require travel to State offices in connection with the above duties.

Administrative Responsibilities

1. Operational Responsibilities:

  • Supervise office administrative requirements – including monthly maintenance and charges, maintenance, floor space management, office supplies and stationery
  • Supervise office assets, their safety, insurance, tracking movements, regular updates of the asset register and spot-checks. Oversee repair and maintenance requirements, thereby ensuring the safety & security of all employees
  • Oversee all administration and logistical arrangements for meetings, visits, workshops and conferences- both within the office and for official visits
  • Oversee and manage all travel arrangements of the office staff, advisors and consultants, both in-country and international

2. Logistical Responsibilities:

  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints. Develop inventory control management systems and ensure adherence to the set policies and procedures
  • Ensure procurement procedures, contractual arrangements and authorization procedures are followed across up to the required standard
  • Ensure all contract/ MOU for vendors, contractors and partners including addendums/extensions are prepared on time by the team

Human Resources Responsibilities:

1. Recruitment and HR:

  • Manage end- to-end recruitment including creating JDs, shortlisting, interviewing, on- boarding and inducting for roles across PAAR.
  • Develop HR related documents, policies, contracts, agreements for employees
  • Design and implement staff trainings, workshops, and other learning and development initiatives to build a culture of collaboration within and between departments
  • Undertake timely implementation and documentation of periodic performance review processes and probation reviews
  • Manage and proactively address people issues across the entire employee cycle, while guiding supervisors and other staff members on all employee-related matters
  • Foster a conducive working environment through employee engagement activities and proactive communication
  • Ensure the smooth execution of employee separation process, including conducting exit interviews, disbursing clearance certificates and final settlement of account
  • Prepare and analyse attrition reports to be discussed with departmental heads, organization leadership to effectively manage the employee life-cycle

2. Legal and Compliance

  • Ensure timely compliance to various statutory obligations such as EPF, ESIC, gratuity, labour laws, factory act, etc.
  • Ensure that HR policies are aligned with the overall strategic requirements of the organization keeping staff in centre
  • Communicate, manage, and resolve all HR statutory and compliance related queries from employees.
  • Communicate any policy updates/additions/deletions to all the employees and provide training to employees on policy interpretation and implementation.

Qualification, Skills & Experience Required:

  • 10 to 12 years relevant work experience with graduate/post graduate degree in management/social work etc.
  • Must possess excellent written and verbal communication skills
  • Ability to operationalize strategy, excellent planning and organisation skills
  • Strong networking and presentation skills
  • Accurate with strong attention to detail
  • Strong interpersonal skills, with the ability to work in a collaborative and consultative manner
  • Ability to work well under pressure and manage time effectively

Location: Kolkata, India
Compensation: Commensurate with work experience and as per industry standards
