Job Summary
As a process manager who can consolidate all information pertaining to budget, program progress and co-ordinate regular communication with donors. The process manager is the point of contact for internal stakeholders like the program team, finance team and senior management to access consolidated information on program progress, budget and other donor related compliance.
This would enable making course corrections and re- strategizing where necessary in order to efficiently complete each project within cost, time and other parameters.
Key Responsibilities
Program Operational Support
- Support programmatic execution for projects across India, working in close collaboration with State/Regional Heads and project leads.
- Regularly track project milestones, deliverables and learning questions to ensure the program team and support functions are positioned to stay aligned.
- Develop and share the checklist and trackers with the program/pilot and cross-functional team and follow-ups for ensuring its implementation within the estimated timeframe and budget.
- In collaboration with state/regional heads and project leads, review personnel allocation within the project, regularly reviewing timesheet reports to support level of effort tracking and personnel planning.
- As appropriate, coordinate project kick-off, quarterly check-ins and project close-out planning meetings in addition to any others that project leads need support on.
- As needed, manage engagements with external consultants that span projects across the portfolio.
- Partner and support MEL plans, as needed, in partnership with the MEL team and project leads, including tracking and updating indicators and following through with donor approvals and engagement with third-party evaluators.
Financial and Risk Management
- Responsible for keeping a tab on country program finances to ensure overall fiscal transparency, accurate budgets, expenditures to budget, and compliance with procurement policy and procedures; coordination with headquarters financial systems management;
- Liaison between project leadership and grants/finance to support budget management to track expenses, make projections, ensure cost-efficiency, and ensure achievement of financial deliverables such as cost share.
- Support project leadership in identifying issues and risks and facilitate engagements with relevant stakeholders (Operations, Strategy) and suggest relevant course corrections.
- Partner with the regional heads to actively monitor project progress to ensure they are on track with deliverables and targets, on time, and on the budget without overspending or underspending and that they fully meet goals as committed to the donors.
- Support the Program Directors in early identification and diagnosis of off-track projects and actively determining feasible strategies to correct them.
- Work with the Program Directors to ensure that all project modifications, adjustments, or no-cost extensions are fully justified and appropriately communicated and agreed upon by donors.
Donor management
- In partnership with the State/Regional heads, Country Directors and the strategy team, support seamless communication with as many donors within the portfolio.
- Lead completion of annual reports, and any other donor reports with project leads, State/Regional Heads and Directors.
Administrative and Compliance Support
- Ensure all donor contractual terms and conditions are fulfilled in line with DG’s policies and procedures.
- Coordinate with Senior Grants Manager and project leads on administrative execution of all requirements for sub-award management, including ensuring sub-recipient selection and engagement steps are completed and saved in the internal system.
Internal Operational support
- Orient the relevant project staff on the key requirements, contractual obligations and processes, including but not limited to procurement guidelines, budget, donor compliance, etc.
- Working with the Operations team to support the design, roll out and continuous improvement of DG’s project lifecycle processes and program management approach within the portfolio.
Communication
- Ensure smooth coordination with Communications, Technology and Program teams to ensure timely and relevant messaging that align with strategic objectives and implementation plans.
- Support the Communications team in the preparation of promotional materials, program summaries and reports as required.
Qualifications
- Graduation with advanced education in Project Management.
- Should have 8-10 years of experience including at least 2-3 years at senior level managing projects of such nature in a digitized environment.
