Ashish Dhawan is one of India’s leading philanthropists. He founded and ran one of India’s first private equity funds, ChrysCapital, and in the last decade has helped build successful institutions (for e.g., Ashoka University) and strategic foundations (for e.g., Central Square Foundation, which works on school education reform). More recently, these include organisations that are working on building a better understanding between India and East Asia, improving the performance of the public sector, solving the air pollution crisis, and improving the pipeline of leadership and talent in the social sector.

We are now setting up The Convergence Foundation to do this in an institutionalized manner – identify critical voids in the social sector and build strong, long-lasting organisations to solve complex problems.

In order to ensure that our organisations reach their maximum potential, The Convergence Foundation will work closely with each of the organisations and provide strategic support in a variety of ways: developing deep connections with the broader ecosystem (including the government, donors, and others influencers), recruiting best-in-class talent, building a strong brand and network of champions, initiating cross-learning between organisations, and building fundraising capacity.

Position Summary

We are looking for an exceptional Senior Administrative Manager to manage, directly and through subordinates, the day-to-day administrative activities for a large single organization and multiple smaller organizations, operating under one umbrella. S/he will be responsible for taking the lead role in developing and implementing best practices, working independently on moderately complex issues and projects, and for managing ongoing processing efforts. S/he will be accountable for the overall budget and spending for admin and office operations.

The Senior Administrative Manager’s aim should be to increase effectiveness of the staff and tools by recognizing opportunities for development and proactively creating new systems and structures.

Key responsibilities

  • Lead and manage resources, office assets, facilitate inter-departmental administration, and supervise soft services team for seamless office functioning in all admin verticals.
  • Oversee office inventory controls, including ordering and stocking stationery, timely verification, and processing of vendor invoices, agreements, etc.
  • Set up a new office project right from designing to delivering, and managing the entire project in the designated time-frame.
  • Support & assist the management heads in achieving the operational strategy with regard to facilities, travel and front office operations.
  • Prepare annual budgets, schedule expenditures, analyze expenses, and initiate corrective actions.
  • Design and implement office policies by establishing SOP’s, measuring results against standards, and making necessary adjustments to ensure utmost safety and security of employees, assets and the office.
  • Maintain cordial relations with building management and local authorities and ensure successful closure of tasks.
  • Provide ad hoc administration support to internal staff and management by efficiently handling a wide range of routine and special requirements.
  • Manage the development and implementation of key procurement strategies/ contingencies.
  • Identify new potential vendors for strategic sourcing.
  • Manage events, organize meetings and conferences, make travel (air-road-train bookings) arrangements, and hotel reservations for guests and if required foreign delegates.

Required Qualifications, Skills and Abilities

  • A bachelor’s degree in a relevant field including business, management, industrial/ organisational psychology, human resources, communications, or a related field.
  • 8-10+ years of work experience in general administration.
  • Strong planning and organizational skills, and an ability to handle multiple priorities simultaneously, plan timelines and meet deadlines.
  • Ability to create and maintain strong working relationships.
  • Excellent presentation skills, with the ability to communicate effectively, both orally and in writing, with an external audience.
  • Ability to be effective in a highly agile, fast-paced and consensus-based work environment.
  • Highly motivated with the ability to make sound decisions and work independently to agreed goals and targets.
  • Ability to confidently push back when necessary while maintaining positive relationships and high standards.
  • Adaptable and flexible to changing circumstances and needs of the role, including flexibility in working hours to ensure coordination with the various stakeholders.
  • High level of discretion in maintaining confidentiality of sensitive materials and issues

Compensation

Remuneration will be competitive with Indian philanthropy pay scales and will depend upon the candidate’s experience.
